GPs are receiving vital clinical updates on Southport and Ormskirk Hospital patients, automatically filed against their medical records, through a groundbreaking paperless clinical correspondence process.

Medisec Software’s clinical correspondence product MedisecTRUST has been pivotal in supporting the delivery of electronically-signed hospital letters into GP practice software systems using the Medical Interoperability Gateway (MIG) from Healthcare Gateway Limited (HGL).

Healthcare Gateway is a joint venture between GP system providers EMIS and INPS. Its MIG technology facilitates the secure exchange of e-discharge summaries and other clinical documents to GP surgeries using EMIS and INPS systems.

“This collaboration provides a comprehensive clinical correspondence solution for secondary care,” said Peter Anderson, HGL’s Commercial Director.

“The secure sharing of patient data across different health service IT systems is crucial for improving operational efficiencies. With the right technology in place, GPs can now receive vital discharge information within 24 hours rather than waiting days or even weeks.”

Southport & Ormskirk Hospital NHS Trust, which uses MedisecTRUST to manage its clinical correspondence process, partnered with Medisec Software, Healthcare Gateway Ltd and Informatics Merseyside to develop the end-to-end electronic process.

The system is fully operational and the hospital will be extending a paperless service for all types of clinical correspondence.

Chris Greene, Urgent Care Systems Development Project Manager, Informatics Merseyside, added: “This collaboration has been a positive experience and will deliver significant benefits for all stakeholders in North Mersey. We are keen to build upon what has been achieved so far with MedisecTRUST and MIG.”

Southport and Ormskirk Hospital has become the latest NHS Trusts to introduce Medisec Software’s integrated digital dictation platform.

The hospital will pilot the solution having used workflow management system MedisecTRUST to deliver efficiencies in the transfer of patient information since 2007. It is now seeking to integrate Digital Dictation with MedisecTRUST to improve transcription times and realise further efficiency gains.

MedisecTRUST Digital Dictation will tag voice files from Southport and Ormskirk clinicians with central Patient Administration System (PAS) data to automatically generate clinical correspondence.

Tom Rothwell, Medisec Software’s Managing Director, said: “MedisecTRUST is highly regarded throughout the trust and so a pilot of our Digital Dictation solution signals a logical progression.”

The move follows hot on the heels of a successful roll out of MedisecTRUST Digital Dictation at Alder Hey Children’s NHS Foundation Trust.

Medisec Software has gained ITK2 accreditation for its hospital-based clinical correspondence solution.

MedisecTRUST Digital Dictation, which offers the NHS a paperless correspondence process from speech mike to GP practice, has met the criteria for the Department of Health’s interoperability toolkit (ITK2) – a set of standards, frameworks and implementation guides for the electronic exchange of clinical information.

“Adding ITK2 to the delivery options for MedisecTRUST is strategically important for the Medisec Software proposition and we are keen to support the adoption of this standard in the NHS,” said Medisec Software’s Managing Director Tom Rothwell.

The longstanding advocate of NHS standards in clinical information exchange, added: “The move will support the removal of paper from the correspondence process, a fillip to NHS resourcing and to ensuring there is a healthy market for all suppliers.”

East Cheshire NHS Trust has moved exclusively to electronic communications with Cheshire GPs, in a landmark move that will boost patient care.

Fifty-six GP practices across Cheshire are now exclusively receiving hospital correspondence and discharge summaries electronically – minimising administrative errors and risks associated with duplicate letters.

MedisecTRUST is used by the Trust to generate most of its clinical correspondence, and the GP delivery module allows practices to receive critical clinical information into their GP System using EDT Connect for processing each morning, without the need for dual keying or scanning correspondence.

Vicky Bond, Clinical Admin Manager, at East Cheshire NHS Trust said: “We are now able to create, review, sign off and deliver clinical letters and discharge summaries to every single GP practice in Cheshire in a seamless, paperless, end-to-end process.”

She added: “Bringing an end to paper correspondence has been an important strategic goal for us, and by centralising printing and taking steps to manage our sign off process, we’ve now been able to achieve this.”

Removing paper from the process endorses the electronic delivery system that has been deployed by leading NHS shared services provider, Cheshire ICT, in collaboration with Medisec Software. The process benefits all users by improving integrity, saving valuable NHS resources, improving environmental sustainability and improving patient care.

Developed by Medisec Software, the electronic delivery system will enable surgeries to reject mail at the touch of a button if a correspondence is sent in error, or if a patient is no longer registered with a particular GP practice.

Debi Lees, Customer Service Delivery Manager, at Cheshire ICT Service, added: “Electronic delivery has led to dramatic improvements in both the speed of delivery and the quality of clinical updates. GPs have been calling for an end to paper correspondence and, in accomplishing this; we’ve reached another notable milestone in patient care and administrative efficiency.”

Ranby Prison GPs are set to receive swifter clinical information about inmates treated at Doncaster and Bassetlaw hospitals thanks to an advanced electronic delivery system.

The Nottinghamshire prison’s Healthcare Centre will now receive hospital correspondence and discharge summaries directly into an electronic inbox, ready for the centre to process each morning – an important boost to prisoner care.

MedisecTRUST Digital Dictation is being used by Doncaster and Bassetlaw Hospitals NHS Foundation Trust, enabling critical clinical information to be downloaded directly into the prison’s computer system without the need for dual keying or the scanning of correspondence.

“By streamlining this process, we will save a great deal of time while reducing the risk of any possible administrative errors occurring,” said Louise Scott, Office Manager at Healthcare, HM Prison Ranby.

“The feed into our clinical SystmOne computer system from MedisecTRUST should eliminate the need for us to chase up hospital letters while the doctors will now be able access all correspondence at the touch of button.”

Since using MedisecTRUST Digital Dictation, Doncaster and Bassetlaw Hospitals NHS Foundation Trust has successfully halved the average time for providing clinical correspondence to GP practices.

“Clinical correspondence and discharge summaries from Doncaster and Bassetlaw hospitals are now being created, reviewed, signed off and delivered to every single GP practice in Bassetlaw in a paperless end-to-end process,” added Susan Kyle, NHS Bassetlaw Data Quality Facilitator.

“Our decision to end, this month, all paper correspondence from Bassetlaw Hospital to these practices – and now Ranby Prison – is a significant step to improving operational efficiencies and has been endorsed by both the Clinical Governance Forum and Patient Safety Group.”

MedisecTRUST Digital Dictation, from Medisec Software, automatically matches digitally dictated clinical notes with PAS patient details to produce clinic attendance letters.
